2. E-mail addressed to more than 15 Vlerick recipients

If an external contact sends an e-mail to more than 15 Vlerick recipients, the e-mail is bounced. A notification is sent to the sender asking him to resend the mail with less recipients.

More information and a sample notification can be found in the FAQ file 'Too many recipients mark your message as SPAM'

3. Out of office

There are 2 types of out-of-office messages:

  1. Standard out of office, this is sent only to internal contacts.
More information in the FAQ file 'Standard Out-Of-Office feature in Outlook 2003 and OWA',
  2. Custom out of office, this out-of-office is sent to internal and external contacts.
More information in the FAQ file 'Custom Out-Of-Office'.

4. Wrong mail address

When an external person types in a wrong mail address, a notification is sent that this e-mail address is not valid.
If you address your mail to a wrong mail address, a notification can be sent to you (this depends on the mail infrastructure of your contact).

5. SPAM message

If you receive a SPAM message, no notification is sent.
If you do not check your SPAM mailbox regularly, you receive a reminder to do so every 14 days.
More information about this can be found in the FAQ file 'How can I check my SPAM messages?'.

6. Virus message

If you receive an e-mail message with a real virus, the message will be deleted.
If this message contains a non-allowed attachment, the attachment will be blocked and you will receive a warning about this.
More information about this in the FAQ file 'Virus Policy'.

4. Background

Our mail system is configured following the best practices of Microsoft and IT standards.
This means only when strictly needed, a notification e-mail will be sent.
In this way, we reduce SPAM more effectively an assure an optimal performance of our mail system.

False e-mails notifications are known as backscatter.

Backscatter is the side-effect of e-mail spam, where spammers use an existing address from someone else as sender address for large quantities of unsolicited commercial e-mail (SPAM). All non-delivery reports end up with the forged sender address, resulting in often hundreds or thousands of mails in the inbox of the innocent owner of that address.

More information about these best practices can be found at:
